MLCC Sourcing Is Not Just About Price: What Buyers Should Check Before Placing an Order

A low quotation does not automatically mean a good purchasing decision. For MLCC buyers, the real question is whether the supplier can provide the correct component, the required quantity and the right delivery schedule.

Multilayer ceramic capacitors are among the most common passive components used in modern electronics. They are small, widely used and often purchased in high quantities. This makes them an important category for procurement teams, even when the unit price of an individual capacitor is relatively low.

For European and US purchasing teams, international sourcing adds another layer of complexity. Product specifications, packaging, lead time, logistics, documentation and communication all need to be considered before an order is confirmed.

The Real Cost of a Missing Capacitor

One of the easiest mistakes in component purchasing is to look only at the price of a component.

An MLCC may cost very little compared with a finished electronic product. However, if a critical capacitor is unavailable, the production line may still be affected.

This is why experienced purchasing teams evaluate components according to their production impact, not simply their unit price.

Think about production risk, not just component cost.

The right sourcing strategy considers availability, lead time, alternative sources and the importance of the component within the finished product.

1. The Specification Is Not Complete

An RFQ that only says "10uF ceramic capacitor" is usually not enough. Buyers and suppliers may need to confirm capacitance, tolerance, voltage rating, dielectric, package size and temperature requirements.

Two capacitors can have the same capacitance but still be unsuitable as direct replacements.

2. The Quantity Is Too Small for the Supplier

Some suppliers have minimum order quantities or specific packaging quantities. If the buyer does not communicate the expected annual demand or immediate requirement, it can be difficult to receive an accurate quotation.

3. The Delivery Date Is Not Clearly Defined

"As soon as possible" is not a useful delivery requirement for international procurement. A better RFQ should provide the target delivery date or production schedule.

4. The Buyer Depends on Only One Source

A single supplier may work perfectly for years. But when market conditions change, the lack of a second source can suddenly become a problem.

How to Build a More Reliable MLCC Sourcing Strategy

Step 1 — Standardize Your BOM Information

Make sure your purchasing team has the complete part number, specification, quantity and delivery requirement. A clear BOM allows suppliers to respond more accurately.

Step 2 — Separate Critical and Standard Components

Not every MLCC requires the same purchasing strategy. Standard components may be easier to source, while application-specific, high-voltage, high-capacitance or other demanding parts may require more planning.

Step 3 — Maintain a Second Source

A qualified second supplier gives purchasing teams another option when the primary supplier cannot meet a requirement.

Step 4 — Check Before You Have an Urgent Requirement

Building supplier relationships before a shortage or production emergency occurs gives both sides more time to understand the customer's requirements.

What Information Should You Send When Requesting an MLCC Quote?

A clear RFQ can save considerable time. If possible, include the following information:

  1. Manufacturer part number

  2. Required capacitance

  3. Voltage rating

  4. Tolerance

  5. Dielectric

  6. Case size

  7. Required quantity

  8. Target delivery date

  9. Destination country

  10. Approved or preferred brands

If you have a complete BOM, sending the BOM can be even more efficient. The supplier can review the required part numbers and identify which items can be supported.

Price Is Important — But It Is Only One Part of the Decision

Purchasing teams naturally need competitive pricing. However, a meaningful comparison should consider the complete purchasing situation.

For example, if your regular supplier cannot provide a certain quantity, you can check another source. If a customer changes the production schedule, another supplier may be able to help. If you are preparing a new project, comparing several sourcing options can also improve purchasing visibility.

This approach is particularly useful for international buyers who want to reduce dependence on a single supply channel.
